Terms and Conditions

Effective 23 October 2026Terms and Conditions of Service

01Nature and Scope of Services

Copyright Record provides digital registration, cryptographic file identification, blockchain-based timestamping, certification and verification services to individuals, businesses, educational institutions, universities, research organisations, notaries, legal professionals and other authorised users.

The Service enables the registration of original creative works, manuscripts, academic theses, dissertations, research, technical documentation, inventions, designs, written concepts, educational qualifications, professional certificates, legal documents and other eligible digital materials.

The purpose of the Service is to establish a verifiable registration record and preserve cryptographic evidence identifying the precise digital version submitted. Registration does not, of itself, confer copyright, patent rights, legal ownership, official accreditation or statutory notarisation.

02Registration Documents and Customer Downloads

Upon successful completion of registration, confirmation of payment and issuance of the relevant records, the Customer shall be entitled to download the following materials, where applicable:

(a) Original Registered File: An exact digital copy of the file submitted and accepted for registration, corresponding to the cryptographic fingerprint recorded by the Service.

(b) Public Registration Certificate: A certificate containing the relevant public registration particulars, including the registration identifier, recorded date, cryptographic fingerprint and applicable blockchain verification references.

(c) Private Registration Certificate: A certificate containing additional registration particulars intended for the Customer's confidential records.

(d) Blockchain and NFT Verification Information: The applicable blockchain transaction references, token identifiers and other information necessary to identify and independently verify the registration.

These materials shall be made available through the Customer's account immediately upon successful completion of the relevant processing.

The Customer is responsible for downloading and securely preserving these materials. Copyright Record strongly recommends maintaining independent backup copies.

03Original File Integrity, Cryptographic Hashing and Verification

Each file accepted for registration is identified through a cryptographic hash calculated from its exact digital contents.

The registered hash serves as a reference fingerprint against which subsequently presented digital files may be compared.

An exact, unmodified copy of the registered original file shall produce the same cryptographic hash, regardless of the number of copies made, the storage medium used, the file's location or its filename.

Customers may therefore copy, transfer, download, distribute and independently preserve identical copies without affecting their ability to verify the file against the original registered fingerprint.

Any modification to the underlying file data, including changes to content, formatting, embedded metadata or information automatically saved by software, may result in a different hash and prevent an exact match.

Merely opening or viewing a file does not ordinarily alter its hash. However, applications that automatically save modifications may change the underlying file.

Customers are responsible for preserving at least one digitally unchanged copy of the registered original.

A matching cryptographic hash establishes strong technical evidence of digital file identity. A non-matching hash establishes that the compared files are not digitally identical under the applicable hashing method but does not, without further evidence, establish fraud or unlawful alteration.

The original registered hash shall remain associated with its corresponding registration and shall not be silently amended, replaced or reassigned to a different file.

04Institutional, Academic, Professional and Third-Party Verification

Copyright Record may be used by schools, universities, awarding bodies, training providers, research institutions, notaries, legal professionals and other authorised organisations to register documents for subsequent independent verification.

Registered documents may include academic qualifications, diplomas, transcripts, professional certificates, research publications, theses, dissertations, formal declarations, agreements and other legally permissible records.

A third party possessing an exact digital copy may verify its integrity by comparing its cryptographic hash with the registered reference.

Such verification establishes whether the submitted file is digitally identical to the registered version. It does not independently establish the truth of its contents, the legal validity of the document or the authority of its purported issuer.

Where Copyright Record separately verifies an issuing institution's identity or authority, such verification shall be distinguished from the cryptographic verification of the document itself.

Institutions and professional users remain responsible for their authority to issue documents, the accuracy of their contents, compliance with applicable professional requirements and the lawful processing of personal information.

Registration shall not be represented as a substitute for statutory notarisation, officially recognised accreditation, qualified electronic signatures or other legally prescribed authentication procedures.

Corrected, amended or reissued documents shall constitute distinct digital versions and must not replace the original registered file under an existing fingerprint. Any subsequent registration or verification status shall accurately distinguish the relevant versions.

05Intellectual Property, Authorship and Research

Customers may register literary, artistic, scientific, academic, commercial, technical and other eligible materials for the purpose of establishing evidence associated with the registered digital version and its recorded registration time.

Registration may support claims concerning possession, document integrity, authorship, development history or the existence of recorded material at a particular time.

Copyright Record does not independently determine authorship, originality, priority of invention, academic validity or entitlement to intellectual property rights.

Registration of a concept, idea, invention, research proposal or technical description does not automatically grant exclusive rights over the underlying idea or constitute a patent application.

All copyright, patent, confidentiality, contractual and other intellectual property rights remain governed by applicable law.

Customers warrant that they possess the necessary rights or lawful authority to submit the relevant material and that registration does not knowingly infringe the rights of another party.

06Customer Safekeeping and Complimentary Storage

Copyright Record is a registration and verification service and not a permanent document storage, file-hosting or backup provider.

Customers are responsible for downloading, preserving and maintaining independent copies of their original files, certificates and registration information.

Copyright Record may retain copies of registered documents on its servers for administrative, verification, security, legal compliance and Customer convenience purposes.

Any such additional storage is provided free of charge and does not constitute a separately purchased or guaranteed permanent storage service.

Subject to applicable law, Copyright Record reserves the right to establish retention periods, modify storage arrangements, discontinue complimentary storage or remove files where retention is no longer necessary or justified.

Where reasonably practicable, advance notice and an opportunity to retrieve documents shall be provided before planned discontinuation of complimentary storage.

Copyright Record does not guarantee indefinite file availability. To the fullest extent permitted by applicable law, it shall not be liable for losses attributable solely to a Customer's failure to maintain independent copies where Copyright Record has fulfilled its contractual and statutory obligations.

07Protection of Registered Originals and Restricted Administrative Access

Copyright Record shall apply appropriate technical and organisational safeguards to protect registered original files against unauthorised access, modification, substitution or disclosure.

Access to confidential original files for compliance and investigative purposes shall be restricted to a single specifically designated, authorised senior compliance official operating through a protected Super Administrator account with mandatory multi-factor authentication.

The Super Administrator's access to registered original files shall be limited to authorised retrieval and downloading for legitimate compliance, verification or legal purposes.

No Super Administrator, ordinary administrator or other employee shall be authorised to amend, overwrite, replace or substitute the contents of an original registered file.

Any investigative copy shall be maintained separately from the registered original. Access shall be subject to appropriate audit logging, accountability and confidentiality controls.

These restrictions do not prevent lawful deletion, access restriction or evidence preservation where required or permitted under these Terms and applicable law.

08Prohibited Materials and Unlawful Activities

Customers shall not use Copyright Record to register, preserve, facilitate, promote or otherwise support unlawful activities.

Prohibited materials and activities include, without limitation:

Copyright Record also prohibits submissions that unlawfully infringe intellectual property rights, privacy rights or other legally protected interests.

The legitimate registration of academic, historical, journalistic, artistic or legal material shall not automatically constitute prohibited conduct solely because its subject matter is sensitive or controversial.

Customers remain responsible for ensuring that all submissions comply with applicable law and these Terms.

09Compliance Reviews and Investigations

Copyright Record reserves the right to investigate suspected violations of these Terms, including allegations concerning unlawful content, fraudulent registrations, intellectual property infringement, threats to public safety or misuse of the Service.

Where supported by credible information or reasonable grounds for concern, the designated senior compliance official may conduct a targeted review of relevant registration information and, where necessary and legally justified, obtain a copy of the original registered document.

Such reviews shall be conducted in accordance with applicable law, including data protection requirements, and limited to what is reasonably necessary for the legitimate purpose concerned.

Copyright Record does not undertake a general obligation to examine or legally approve every submitted document.

Acceptance or issuance of a registration shall not constitute approval, endorsement or certification of the lawfulness of its contents.

10Disclosure to Courts, Law Enforcement and Competent Authorities

Copyright Record reserves the right to cooperate with competent judicial, regulatory and law enforcement authorities.

Where required by a valid court order, binding legal obligation or other legally enforceable request, Copyright Record may disclose relevant original documents, certificates, registration records, account information, transaction details and associated evidence.

Copyright Record may also report credible suspected criminal activity and disclose relevant information without a court order where such reporting or disclosure is otherwise required or lawfully permitted.

Disclosures shall be limited to information reasonably necessary for the relevant lawful purpose.

Where legally permissible and appropriate, affected Customers may be notified. Notification may be withheld where prohibited by law or where disclosure could compromise an investigation, evidence preservation or urgent protective action.

Copyright Record shall not be required to obtain Customer consent where disclosure is independently authorised or required by applicable law.

11Suspension, Restriction and Permanent Termination

Copyright Record reserves the right to refuse registration, restrict document access, suspend account functionality, disable hosted content or terminate services where necessary and proportionate in response to serious or repeated violations of these Terms.

Where there are reasonable grounds to suspect serious criminal activity, child exploitation, terrorism, substantial fraud, security threats or an immediate risk of harm, Copyright Record may impose protective restrictions without prior notice, to the extent permitted by law.

Permanent account termination may be imposed for substantiated serious misconduct, repeated violations or other legally justified grounds.

For less serious or remediable violations, Copyright Record shall ordinarily provide appropriate notice or an opportunity to remedy the breach.

Customers may challenge enforcement decisions through the published support channel, subject to any restrictions necessary for lawful investigations.

Termination may result in loss of access to account-based services and complimentary storage but shall not automatically erase existing public blockchain records.

Refunds, where applicable, shall remain subject to mandatory consumer rights and other applicable legal requirements.

12Retention, Deletion and Blockchain Permanence

Copyright Record may restrict, remove or delete hosted material where legally justified, including following account termination or discontinuation of complimentary storage.

Relevant information may be retained for a limited and lawful period where necessary to comply with legal obligations, preserve evidence, investigate serious misconduct or establish, exercise or defend legal claims.

Retention and deletion shall be governed by applicable data protection and legal requirements.

Customers acknowledge that public blockchain transactions and associated on-chain records may be technically immutable.

Accordingly, deleting a hosted document or terminating an account does not necessarily delete the corresponding blockchain transaction, NFT or records independently maintained by third parties.

Copyright Record may, where technically supported and appropriate, mark registrations as disputed, superseded or revoked within its own verification system without altering the historical blockchain transaction.

13Confidentiality and Data Protection

Copyright Record shall process personal information and confidential documents in accordance with applicable data protection legislation, including the General Data Protection Regulation (GDPR) where applicable.

Private original files shall not be publicly disclosed solely by reason of registration.

Processing, authorised access, disclosure, retention and deletion shall be subject to appropriate lawful bases, security measures and the provisions of Copyright Record's Privacy Policy.

Institutional Customers remain responsible for establishing the legal basis for submitting personal information concerning students, employees, clients and other individuals.

Where required by applicable law and the parties' respective processing roles, additional data processing arrangements shall be established.

14Fees, Service Availability and Limitation of Liability

Registration fees apply to the digital registration, certification and associated services identified at the time of purchase.

Complimentary document storage is not separately charged.

Copyright Record shall exercise reasonable care and skill in providing its contractual services but does not guarantee uninterrupted operation of external blockchain networks, third-party NFT services or systems outside its reasonable control.

Copyright Record does not warrant that registration independently establishes legal ownership, confirms the validity of a qualification, proves the truth of document contents or guarantees success in judicial or administrative proceedings.

To the fullest extent permitted by law, Copyright Record shall not be liable for losses arising from unlawful Customer submissions, subsequent alterations to Customer-held copies, failure to maintain independent backups or circumstances beyond its reasonable control, except where such losses result from a breach of obligations for which liability cannot lawfully be excluded.

Nothing in these Terms excludes or limits mandatory statutory consumer rights, applicable data protection obligations or other liability that cannot legally be excluded.

15Governing Law and Jurisdiction

These Terms and Conditions and all contractual disputes arising from or relating to the provision or use of Copyright Record shall be governed by and interpreted in accordance with the laws of the Kingdom of Norway.

Subject to mandatory applicable jurisdiction rules, the competent courts of Norway shall have jurisdiction over disputes arising in connection with the Service.

For business and institutional Customers, the parties agree to Norwegian court jurisdiction to the fullest extent permitted by law.

Nothing in this provision shall deprive consumers of mandatory protections concerning applicable law, court jurisdiction or access to legally available dispute-resolution procedures.

16Amendments, Severability and Acceptance

Copyright Record reserves the right to amend these Terms where reasonably necessary to reflect changes in law, technology, security requirements or the operation of its services, subject to applicable contractual and statutory requirements.

Material amendments shall be communicated where legally required and shall not unlawfully prejudice accrued Customer rights.

If any provision is found invalid or unenforceable, the remaining provisions shall continue in force to the extent permitted by law.

By registering an account, purchasing a service or otherwise accepting these Terms through the prescribed acceptance process, the Customer agrees to be bound by them, subject to all applicable mandatory legal protections.

17Public Registration Certificates, NFT Publication and Customer Acknowledgement

Upon successful completion of registration, Copyright Record shall issue a public registration certificate and, where applicable, an associated NFT and blockchain registration record.

The Customer expressly acknowledges and accepts that the public registration certificate is intended to be publicly accessible. Public availability is an inherent and essential feature of the Copyright Record registration and verification service.

The public certificate may contain the registration identifier, registered work title or description, registration date, designated public registrant or issuer information, cryptographic fingerprint, blockchain transaction reference, NFT identifier and other information necessary for public verification.

The Customer acknowledges that public certificates, NFT artwork, associated public metadata and blockchain registration information may be accessed, viewed, downloaded, copied, shared, indexed or independently retained by third parties without requiring further permission from the Customer, subject to applicable law.

Where such information is published on public blockchain networks or decentralised storage systems, it may remain accessible indefinitely and may not be technically removable in its entirety.

Before completing registration, the Customer is responsible for reviewing and understanding which information will become public and confirming that the submitted information is appropriate and lawfully authorised for publication.

The Customer represents and warrants that they have the necessary rights, permissions and legal authority to submit the material and to authorise publication of the information designated as public.

Where registration is undertaken on behalf of a school, university, business, professional organisation or another person, the registrant must possess the necessary authority to act on that party's behalf and must ensure that any disclosure of personal or confidential information is lawful.

The Customer must not include confidential, sensitive or third-party personal information in publicly designated fields unless its publication is lawful and appropriately authorised.

The Customer acknowledges that subsequent removal of public information from Copyright Record's own website may not result in the removal of information independently retained by public blockchain networks, decentralised storage providers or third parties.

The original uploaded document and private registration certificate shall remain confidential and shall not automatically become publicly accessible through NFT issuance or publication of the public certificate.

Copyright Record shall apply appropriate security measures and comply with applicable data protection legislation.

The Customer's acceptance of these provisions shall not exclude or restrict mandatory rights under the GDPR or other applicable law, nor relieve Copyright Record of its own statutory responsibilities.
